General Summary

The Operations Coordinator, Service and After Sales (SAS) is responsible key duties that support day-to-day operations in the department. This includes across department responsibilities related to key document processing, department reports, actions plans and dealer communications as a number of the primary duties for this role.

This is a 15 month full-time contract position.

Essential Duties and Responsibilities

  • Dealer billings and vendor payments for multiple business deliverables that includes:
    • Manual data entry, responses to dealer/vendor inquiries and record-keeping
    • Troubleshooting and resolution of claims submitted by dealers
    • Improvement and/or automation of administrative processes as required
  • Accounting/Finance responsibilities that includes:
    • Preparation of purchase requisitions and orders
    • Reconciliation and processing of vendor invoices
    • Processing, tracking and maintaining accurate log of vendor credits or rebates
  • Weekly and monthly coordination for executive and departmental reports that includes:
    • Gathering of information and materials from business owners/sources to distribute
    • Preparation of professional presentations in Excel and PowerPoint
    • Timely distribution of reports to KCA Executives and Department Management
  • Completion of key monthly and quarterly reports in support of field staff (DPSMs) and internal (SAS) team members, including comprehensive Dealer Performance KPI Report
  • Manage Dealer Support Hub to ensure that dealer requests are accurately logged and distributed to provide accurate responses in a timely manner
  • Administrative support for Director and Senior Department Managers (SAS), including:
    • Travel and event arrangement
    • Scheduling select meetings
    • Drafting internal and external communications
    • Troubleshooting and/or escalating administrative concerns
    • Ordering supplies and support for other special requests
  • Support planning and execution for internal and external department events/meetings

Skills/Knowledge/Experience/Education Requirement

  • Post-Secondary degree/diploma in Business Administration or like discipline required
  • 2-3 years' experience in Coordinator/Administrative role preferred
  • Intermediate proficiency with Excel, PowerPoint, Word, and Outlook
  • Strong knowledge of office procedures and practices
  • Organization and time management skills
  • Self-starter to deliver on business requirements
